Outlook Cannot Connect to SMTP Server? How We Resolved an Office Email Connectivity Problem

Outlook Cannot Send Emails While Webmail Works? Here’s What Happened

Imagine opening Outlook and discovering that your emails are no longer sending or synchronizing.

You check the mailbox through webmail — everything works perfectly.

You check Outlook settings, but Outlook reports:

“The operation was timed out waiting for a response from the sending SMTP server.”

This was a recent email issue we investigated, and the root cause was not Outlook.

🔍 The Investigation

We tested the SMTP connection to:

mail.irungukangata.co.ke

Using PowerShell:

Test-NetConnection mail.example.com -Port 587

The result was:

TcpTestSucceeded: False

We also tested port 465, with the same result.

However, when the same computer was connected to another network, Outlook worked normally.

This pointed to the office public IP/network rather than the Outlook installation.

🚨 The Root Cause

The office public IP address 255.555.555.555 had been flagged and blocked by the service provider due to suspected heavy spam activity.

This explained why:

  • Webmail was working
  • Outlook failed on the office network
  • Outlook worked on another network
  • SMTP ports were unreachable from the office

🔐 What We Did

We took several security measures:

✅ Reviewed email login activity
✅ Changed passwords for all email accounts
✅ Investigated the email/network environment
✅ Contacted the hosting provider
✅ Had the office public IP added to the whitelist
✅ Retested Outlook and SMTP connectivity

After the IP was whitelisted, Outlook email synchronization and sending were restored.

💡 The Lesson

An Outlook error doesn’t always mean Outlook is the problem.

Email connectivity depends on several layers:

Computer → Network → Firewall → ISP → Public IP → Mail Server → Outlook

When troubleshooting email, it’s important to identify the root cause rather than simply reinstalling Outlook or changing account settings.

🛡️ Protect Your Business Email

Businesses should regularly:

  • Monitor email login activity
  • Use strong passwords and MFA where available
  • Scan computers for malware
  • Secure office Wi-Fi
  • Review firewall rules
  • Monitor unusual outbound email traffic
  • Keep operating systems and security software updated

Don’t just fix the email error. Find out why it happened.
